You have recently missed a project deadline which resulted in your company losing an important client.
Write a letter to your senior director. In your letter
● apologise for what happened
● explain why you missed the deadline
● tell him/her how you will avoid this situation in future.
With profound regret, this letter is to seek an apology as a project was not delivered at the agreed time, and thus, the client, John, ended the contact.
This letter is not to defend my inability to complete John’s work, but my wife met with an accident on 12 Aug, and she was admitted to the hospital. To look after her, emergency leaves were sanctioned by the Human Resource Department. On arrival at the office, it was shocking to hear that John ended the contract. A request for extension of the deadline was made; however, it was declined.
Undoubtedly, this contract had a great significance to the organisation. It is a humble request to ask your forgiveness. To avoid such incidents in the future, regular updates on milestones to me would be delivered to clients as well as to assigned project manager, so that prior arrangements can be made to finish projects on time.
Kindly accept my sincere apology.
